Project Coordinator - Corporate Nursing Leadership and Shared Governance (Onsite in Morristown - New Jersey)
Atlantic Health is seeking a full-time Project Coordinator to provide support to the Director of Nursing Education, Director Nursing Operations, Director Nursing Research, AH Shared Governance Nursing Councils and leadership, as well as the organized nursing leadership initiatives across the system.
Essential Responsibilities:
Support Directors of Education and Professional Development, Operations and Research with the following tasks and accountabilities:
- Track and maintain AH nursing leadership (Shared Governance), overall and council goals and status.
- Facilitate Outlook calendar for all essential system-wide nursing meetings and initiatives
- Facilitate monthly minutes for four (4) Shared Governance Council meetings (Professional Development, Practice, Quality Improvement and Research & Innovation)
- Compile Monthly Shared Governance Council Message Map input for distribution by Corporate Communications
- Compile Bimonthly Nursing Message Map input for distribution by Corporate Communication
- Compile and maintain monthly "Get to Know a Nurse Leader" documentation for distribution by Corporate Communications
- Create requisitions and payment follow through for AH Nursing Contracts
- Assist with RN and Partner PACT Pin orders and Distribution to sites
- Assist with distribution of Nurses Week Gifts for Non-RN Job Codes
- Schedule meetings, room reservations, food ordering, notifications, etc. for the Nursing leadership team
- Prepare executive level communication, prepare meeting agendas, prepare PowerPoint presentations, maintain minutes, and develop triggers for all essential follow-up items
- Ensures that all AH nursing led meetings are scheduled in a timely manner
- Ensure that upcoming schedules are balanced, organized, and conflicts are communicated and managed in a timely manner
- Assists AH PEACE Program when in need (meetings, food, room and A/V orders, Staples orders)
- Correspond with State - ONL
- Organize system nursing schedule - conferences, meetings, and presentations and distribution.
- Correspond with Shared Governance Council Chairs and Chairs Elect
- Correspond with NJ Schools of Nursing
- Communicate and plan with team members all schedules and populate in advance a balanced annual calendar
- Organize all travel arrangements: flights, hotels, conference registration, transportation, etc.
- Maintain an organized general office, mail, and supply ordering - create filing mechanism
- Participate in all event organization, retreats, off-site programs, etc.
- Prepare all documents for signature, return signed documents, scan and maintain all contracts and essential business agreements for file.
- Expedite expense reimbursement and check requests
- Organize all publication renewals, registrations, memberships, etc. including keeping track of publication renewal dates
- Prepare executive documents in excel, organizational charts, and workflow (Vizio) diagrams
- Commitment to support the AH Nursing Shared Governance model and its five (6) councils and work groups
- Support nursing leadership with alignment strategies for education, onboarding, shadowing, student programs, and residency programs
- Manage payroll and scheduling for corporate education cost centers
- Other administrative duties and support to Nursing Leadership team as requested.
- Additional responsibilities for ad hoc meetings
Qualifications:
Education
- High School Diploma Required
- Bachelor's degree preferred
Relevant Experience
- Strong work tenure: 3-5 years of experience supporting C-Level Executives, preferably in a healthcare organization
- Proficient in Microsoft Office (Outlook), Teams, Word, Excel, and PowerPoint), Vizio, Adobe Acrobat, and Social Media web and AH Hub platforms
- Ability to demonstrate service centric behaviors
- Strong interest in understanding the workflow and deliverables of nursing within a large healthcare system
- Ability to maintain confidential and sensitive information
